Purpose of and legal basis for processing personal data

The purpose of processing the data is to manage customer feedback and send out customer satisfaction surveys and stakeholder surveys.

The feedback and the survey responses are used to improve and develop operations and services at the PRH and to train the staff. The material can also be used to make reports and various kinds of summaries.

The reason for the processing is to fulfil the controller’s legal obligations when processing customer contacts and improving services.

Personal data and categories of data subjects in the register

The following customer feedback information is saved:

  • the person giving feedback (feedback can also be given anonymously or under a nickname)
  • the email address and telephone number of the person giving feedback (if provided by the person)
  • any other personal data provided in the free-form feedback
  • the customer’s free-form feedback
  • any reply given via the feedback processing system to the person giving feedback
  • name of the officer(s) in charge of the feedback processing
  • information about the recipient if the feedback has been forwarded within the PRH
  • internal comments made by the PRH relating to the feedback processing, and other processing details, such as time stamps and change of officer in charge of the processing.

The following information is processed for sending out customer satisfaction surveys and stakeholder surveys:

  • email address
  • information on whether the message with the survey invitation has been delivered and opened.

Sources of information

The customer feedback information is obtained from the persons giving feedback as they fill in the feedback form on the prh.fi website. The feedback processing system also includes information about persons who have given feedback in some other way, for example by email or face-to-face.

The personal details needed for sending out customer satisfaction surveys and stakeholder surveys are obtained from the information collected in the controller’s statutory operations.

Disclosure of personal data to third parties

No data are regularly disclosed.

Transfer of personal data to countries outside the EU or the EEA or to international organisations

No data are transferred to countries outside the EU or the EEA or to international organisations.

Storage periods of personal data

Data are stored for as long as necessary for the purposes of the register, but for a maximum of two years.

Profiling and automated decision-making

The registered data are not used for profiling, and no automated decision-making is performed on the data.

Right of access to personal data

The data subject has the right to check what personal data about them have been entered into the register, or to find out that there are no such register entries. The data subject can ask the controller for access to their personal data. Read our instructions on how to request access to data.

Right to rectification of data

The data subject has the right to demand that the controller rectify without undue delay any inaccurate or incorrect personal data concerning them. Read our instructions on rectification of data.

Right to restriction of processing

The data subject has the right to demand that the controller restrict the processing of data, if the data subject contests the accuracy of the personal data. The idea is to restrict the processing for a period during which the controller can verify the accuracy of the personal data.

Right to lodge complaint with supervisory authority

The data subject has the right to lodge a complaint with the supervisory authority (the Data Protection Ombudsman).
