Purpose of and legal basis for processing personal data

The data are processed for the purpose of giving information about and marketing the services and operations of the Finnish Patent and Registration Office (PRH), in order to:

  • send marketing messages
  • reach representatives of stakeholders and the media
  • send invitations to events
  • organise events
  • send announcements
  • send newsletters
  • send prizes to winners of a prize draw in a customer survey.

We process the data based on the customer’s consent and, in some situations, the PRH’s statutory obligation to give information about its operations.

Personal data and categories of data subjects in the register

Basic details are collected from all data subjects. The details include name, address, email address, phone number, position in the organisation and name of the organisation. Of these, only the email address is an obligatory detail (does not apply when sending prizes to winners of a prize draw in a customer survey).

Sending marketing messages

  • Basic details: email address at minimum
  • Information on whether the message has been delivered and opened.

Reaching representatives of stakeholders and the media

  • Basic details: email address and organisation name at minimum
  • For media representatives: what theme the journalist follows and in which area they work.

Sending invitations to events

  • Basic details: email address at minimum
  • Information on whether the message with the invitation has been delivered and opened.

Organising events

  • Basic details: email address at minimum
  • Participant’s diet or other details relevant for the participation, if given
  • Participant’s year of birth, if the event is organised for minors
  • Name and contact details of the person having custody, if the event is organised for minors
  • Feedback on the event, if the participant answered the survey.

Sending announcements

  • Basic details: email address at minimum
  • Information on what theme the subscriber has ordered announcements about.

Sending newsletters

  • Basic details: email address at minimum
  • Information on what theme the subscriber has ordered newsletters about
  • Information on whether the newsletter has been delivered and opened and whether the newsletter order has been cancelled.

Sending prizes to winners of a prize draw in a customer survey

  • Basic details: email address at minimum

Sources of information

Depending on the activity, the information sources are as follows:

  • For marketing messages, the registers maintained by the PRH.
  • Personal details of media and stakeholder representatives are collected from public sources.
  • Details of event invitation recipients are collected from the registers maintained by the PRH and from public sources.
  • When an event is organised, the participants enrol themselves for the event by filling in an online form provided by the PRH.
  • To receive announcements, customers enrol themselves as subscribers by filling in a subscription form on the prh.fi website.
  • Details of newsletter recipients are collected from the registers maintained by the PRH. In addition, customers can enrol themselves as subscribers by filling in a subscription form on the prh.fi website.
  • Persons taking part in a customer survey enter the prize draw by filling in a contact detail form in the survey.

Disclosure of personal data to third parties

The PRH does not disclose any data processed for the purposes of communication and marketing to third parties.

Transfer of personal data to countries outside the EU or the EEA or to international organisations

No data is transferred to countries outside the EU or the EEA or to international organisations.

Storage periods of personal data

The details of newsletter and announcement subscribers are stored as long as the subscription is valid.

The details of the invited and the participants in an event are stored for two years.

The contact details of media and stakeholder representatives are stored as long as they are up-to-date and necessary for the processing.

The details of the participants in a prize draw of a customer survey are stored until the prizes have been sent to the winners.

Profiling and automated decision-making

The data are not used for profiling, and no automated decision-making is performed on the data.

Right of access to personal data and right to rectification of data

We confirm enrolments for events and deliver announcements and newsletters in email messages, which contain a link through which you can check and change your personal details.

You have the right to check what details about you have been processed in the PRH communication and marketing, or to find out that your details have not been processed. You also have the right to request the rectification of any incorrect or inaccurate data concerning you.

Provide the following information in your request:

  • what messages you have been receiving from the PRH
  • which address you have received the messages to
  • what data should be rectified, if you are requesting rectification.

Right to forbid processing

You have the right to forbid the use of your details in the direct marketing of the PRH services. The PRH does not disclose the details of those receiving direct marketing to third parties. Indicate in your request that you do not want to receive direct marketing from the PRH. Submit your request by email to viestinta(at)prh.fi

Right to deletion of data

You have the right to withdraw your consent to the processing of your data for the PRH’s communication and marketing purposes. We will delete your data without undue delay. Provide the following information in your request:

  • what messages you have been receiving from the PRH (and no longer want to receive)
  • which address you have received the messages to.

Right to lodge complaint with supervisory authority

You have the right to lodge a complaint with the supervisory authority (the Data Protection Ombudsman).
